Administrative Assistant, Public Programs
Classification: Part-time, Non-Exempt
Reports: Public Programs Manager, Deputy Director for Education and Interpretation
Job Summary:
The Administrative Assistant position assists the Public Programs Manager and the Deputy Director for Education and Interpretation. This work will sometimes involve information of a confidential nature which must be maintained. This position provides general administrative support to Public Programs at SDMA by conducting research, preparing statistical reports, handling information requests and performing clerical functions such as preparing correspondence, letters of agreements, receiving visitors, arranging conferences calls and scheduling meetings. This position conducts special projects as needed. Availability on some weekends and evenings is required.
Qualifications:
Education: B.A degree or equivalent preferred with 2-4 years experience working in all phases of administration.
Knowledge: Relevant experience working in the not-for-profit sector, ideally in a museum environment preferred.
Abilities: Ability to work independently and exercise judgment and initiative and know when to ask questions. Ability to prioritize, shift priorities, multi-task and work efficiently under pressure, as needed. Ability to work in a fast paced office and flexibility is important.
Skills: Demonstrated diplomacy and problem-solving skills. Excellent organizational and coordination skills and attention to detail. Poise, discretion and customer service skills are required in working with a wide variety of museum staff, Trustees, external sources and confidential materials. Good research skills are required. Excellent communication skills, orally and in writing are required. Excellent number skills is preferred. Computer literacy is required, experience in Microsoft Office (Outlook, Word, Excel, Power Point, and Microsoft Project X.
Other Requirements: Must have a valid California Driver’s License, insurance and be willing to use it on the job. Must be available some evenings and some weekends.
Physical Demands:
- Sitting for long periods of time at a desk using a computer.
- Carrying and lifting up to 25 lbs.
- Walking within the museum campus and short distances within Balboa Park.
- Some traveling by car.
Work Environment:
- Office space is shared with the Public Programs manager.
- Noise fluctuates between quiet and moderately noisy.
