Classification:             Part-Time, Non-Exempt (up to 20 hours per week)

Position Summary

The Accounts Payable Assistant is responsible for completing vendor payments and controlling expenses by receiving, verifying and processing invoices, under the supervision of the Controller, Assoc. Director of Finance.

Duties and Responsibilities

  • Oversee the Purchase Order process.
  • Maintain the Encumbrances Module in the Accounting System.
  • Review all invoices for appropriate documentation and approval prior to entering into Accounting system for payment.
  • Prioritize invoices according to their discount potential and payment agreement.
  • Respond to all vendor inquiries.
  • Schedule and process check runs.
  • Maintain vendor files and documentation thoroughly and accurately, in accordance with the museum’s policies and procedures.
  • Resolve purchase order, contract, invoice, or payment discrepancies and documentation.
  • Monitor that vendors are in compliance with the Museum’s Contracts/Independent Contractor’s requirements, in accordance with the Museum’s policy.
  • Assist with annual financial audit field work.
  • Assist with other assignments and duties.

Qualifications

  • Minimum of 1-2 years of accounting or relevant experience required.
  • Proficient in Microsoft Excel, Word and Outlook.
  • Candidate must be highly organized, detail-oriented, and possess strong communication skills, both oral and written. 
  • Strong organizational and time management skills.
  • Ability to work independently and within a team in a fast-paced and high-volume work environment.
  • Ability to multi-task and work under pressure in order to meet deadlines.

Physical Demands

  • 60-80% time spent sitting at the computer.
  • Some carrying and lifting up to 25 pounds.
  • Occasional walking between two Museums sites within the park.
  • Daily walking required to the Museum, which includes stairs.

Work Environment

  • Office space shared.
  • Noise level ranges from quiet to moderately noisy.

Rate: $20.00 per hour
